
Cancellation & Refund Policy
Club Shakas (WA) Pty Ltd - Refund and Cancellation Policy
At Club Shakas (WA) Pty Ltd, we understand that plans can change, and we strive to offer flexibility while also ensuring fairness for all guests attending our retreats. Below is our policy regarding refunds for deposits and final payments.
1. Deposit Payment
A 50% deposit is required upon booking to secure your spot for the retreat. This deposit is non-refundable unless otherwise stated in our terms and conditions. The deposit guarantees your place at the retreat and is a necessary part of the booking process.
2. Final Payment
The remaining 50% final payment is due no later than 30 days before the start date of the retreat. You will receive a reminder email when this payment is due.
3. Refund Policy
In the event that you need to cancel your attendance, the following refund structure applies based on the number of days before the retreat start date. Please note that all refunds will be issued minus a $50 booking fee.
Cancellations made 90+ days before the retreat start date:
You will receive a full refund of your final payment, minus the 50% deposit (which is non-refundable) and a $50 booking fee.Cancellations made 60 to 89 days before the retreat start date:
You will receive a full refund of your final payment, minus the 50% deposit (which is non-refundable) and a $50 booking fee.Cancellations made 30 to 59 days before the retreat start date:
You will receive a 50% refund of your final payment, minus a $50 booking fee.Cancellations made less than 30 days before the retreat start date:
No refunds will be provided for the final payment. The full final payment will be forfeited.
4. No-Show or Early Departure
No-show: If you fail to show up for the retreat without prior notice, you will forfeit your entire payment.
Early departure: If you decide to leave the retreat early, no refund will be provided for unused services or accommodations.
5. Exceptional Circumstances
In cases of exceptional circumstances, such as serious illness or injury, we will review the situation on a case-by-case basis. Documentation (such as a doctor’s certificate) may be required to assess the request for a refund or rescheduling of your retreat.
6. Transfer of Booking
If you are unable to attend the retreat, you may transfer your booking to another individual, subject to approval by Club Shakas (WA) Pty Ltd. The following conditions apply:
Transfer Fee: A transfer fee of $100 will apply.
Agreement to Terms: The new participant must agree to all terms and conditions and complete all required paperwork.
7. Travel Insurance Requirements
Travel insurance is mandatory for all participants. Proof of travel insurance must be provided no later than 30 days before the program start date. The insurance coverage must include:
Trip cancellation/interruption
Medical emergencies and evacuation
Explicit coverage for surfing and water sports activities
Coverage for surf equipment damage or loss
Adventure sports coverage specifically including surfing
Minimum medical coverage amount of $100,000
Water sports-related injury coverage
Participants must provide proof that their insurance policy explicitly covers surfing activities. Participants without valid travel insurance that includes surf coverage will not be permitted to join the program. No refunds will be issued for failure to obtain the required insurance.
8. Payment Methods
Refunds will be processed to the original payment method unless otherwise agreed upon. Please allow 7–10 business days for the refund to be processed and reflected in your account.
9. Changes to Retreat Dates or Cancellation by Club Shakas
If Club Shakas (WA) Pty Ltd is forced to cancel or reschedule the retreat due to circumstances beyond our control, including but not limited to insufficient bookings, we will offer a full refund, including both the deposit and final payment. We will provide as much notice as possible if such changes occur.
If the minimum number of participants required for the retreat to proceed is not met, Club Shakas reserves the right to cancel the retreat and issue a full refund.
10. Force Majeure
No refunds will be issued for cancellations due to circumstances beyond our control (force majeure), including but not limited to:
Natural disasters
Severe weather conditions
Political unrest
Pandemics or public health emergencies
Government travel restrictions
11. Acknowledgment
By booking your retreat with Club Shakas (WA) Pty Ltd, you acknowledge and agree to these terms and conditions regarding deposits, payments, cancellations, and all other policies.
